Seat maps: Managing allocation, sections, availability (Membership and Events including Members)

You can manage your seat map in real-time based on your unique needs (with our support) which places the flexibility, control, and personalisation in your organisation's hands.

First, an INTIX team member will build out your venue's seat map per your specifications regarding reserved seating sections, corporate boxes, hospitality areas, etc. 

Every venue is unique! Below are several different examples, but your venue is laid out to suit your purposes. 

Information that we need from you to begin a reserved seating build:

  • Venue details: name and location
  • Venue layout: architectural drawing, or document with a top view of playing area and stands
  • Section names, rows, seats (ex. Section: Gold, Row: A, Seat: 1)
  • Any accessible, or restricted view seating

Next, create Membership Categories and Membership Pricing Options: Your INTIX account manager will go through this with you as you will be creating and customising your Membership Portal with custom pages for each category, detailing all the inclusions. We hand you the tools to manage the allocation of seats and sections for:

  • available Membership seats versus single-event seats (and any permanently unavailable seats) 
  • place seats on hold, and release them as needed, per event
  • password-protect seats for specialised access
  • select your brand's colours to personalise the look of the map!

All seats are in place and labelled, now you will assign the seats to be either Membership seats, or Single Event Seats

  1. Click to select designated membership seats
  2. Select Update Category > select membership category to apply to selected seats
  3. Select Seat Status > Available Membership Seat

4. Select seats designated to be available for Single Events (not membership)

Click the "X" and go to "Manage" to view your handiwork! The example below has different membership categories assigned to the first two rows versus the third row, and the greyed out seats have been assigned as Single Event Seats.

Carry on assigning all seats to be either available for membership or single events until there are no remaining uncategorised seats.

Accessible Seating

Select seats > Update Seat > tick the Accessible Seating box

This displays on the "Manage" view with wheelchair icons on the designated seats

Update the seat status for any Unavailable membership seats

For example:
Are there seats that will be permanently unavailable due to a media box? Or sections closed due to limited visibility?
Seat status: Unavailable

NOTE: If you have membership for a season, or series of events, you can change seats as the series progresses. Unsold membership seats can be made available for single games for the remainder of the season or series.

Create your first event

If this is the first event in a series, build out the first one and then you can duplicate all future events.

  1.  Log in > Host An Event > Create Event
  2. Fill out Basic Info for your event (Title, venue date, time etc), Save

For this purpose, we will skip the next step, Event Details and move onto Tickets.

 

Select the type of event you are creating

To utilise the seating map, choose Reserved Seating: includes members/season tickets:

Select your seat map and continue

Your seat map will appear and if you have any members, they will be automatically imported into the event. As people purchase memberships going forward, they will also automatically be added to all remaining events in the season.

Create your Event Price Category and price options

Select the default "Tickets" and re-name it to suit your event, ie. "Reserved Seating" if you wish.

Create all further price options in under this category (ie. Concession, child)

(OPTIONAL: if you want to change the seats to your brand colours, click on the circle next to the ticket category and paste your brand colour's HEX code)

Select all of your Single Event seats and update them to the applicable price category.

No more red text -  all of your seats have labels and prices attached to them!

Now you can manage the availability of seats on this event, by selecting seats and Update Seat Status:

You can also toggle between viewing the seats by category (Reserved Seating) or seat status (Available versus On Hold):

Congratulations! Your seats are labelled, categorised, and ready to sell! 

Here is the front end (customer view ) of this very simple event with a reserved seating map that we have created:

Notice that first row is unavailable for purchase as we put it on hold a few steps back! 

Password-protecting single event seats

  • You may want to offer an exclusive access pre-sale with an Unlock Code
  • You may want to offer the Away team the opportunity to purchase seats behind their team's bench
  1. In the event, select the Price Categories edit pencil
  2. Select the Price Category to apply the unlock code (in this case "Reserved Seating")
  3. Create a code of your choosing!

Copy Event! 

Now that your seating map is set in place and built out, and your first event is created, you can duplicate this event for a series, simply changing the title, dates and any other details.
