Seat maps: Managing allocation, sections, availability (Membership and Events including Members)
You can manage your seat map in real-time based on your unique needs (with our support) which places the flexibility, control, and personalisation in your organisation's hands.

Memberships/Season Tickets
1. Seat map requirements
First, an INTIX team member will build out your venue's seat map per your specifications regarding reserved seating sections, corporate boxes, hospitality areas, etc. Every venue is unique, and we design the layout to suit your specific needs.
- Venue details: venue name and address
- Venue layout: architectural drawing, or document with a top view
- Section names, row labels, seat numbers (ex. Section: Gold, Row: A, Seat: 1)
- Any accessible, or restricted view seating
- Provide any logos and specify any other visual elements you’d like included on your seating map for your customers
While the seating map is being created by a member from the INTIX team, you are able to continue building your membership site, go to Step 2.

2. Create Membership Categories, Membership Pricing Options and Custom pages: refer to the links below

3. Apply Seat Status and Allocate Membership Categories
Once the seating map is confirmed, you can assign each seat a status such as Membership, Single Event, On Hold, or Unavailable.
- Go to Organisation> Membership/Season Tickets > Seating Map/Members Events > Edit
- Select Availability
- Select seats, multiple seats/areas - hold down the shift key and drag using the mouse
- Select Update Seat Status to differentiate Available Membership Seat, On Hold, Unavailable, Single Event Seat
Note: All seats must be allocated a status. When assigning Single Event seats, pricing is applied within the event via Tickets. Unsold membership seats can be made available for single events throughout the season.

Next, allocate Membership Categories to the seats
- While in Organisation> Membership/Season Tickets > Seating Map/Members Events > Edit select Membership Categories
- Select seats, multiple seats/areas - hold down the shift key and drag using the mouse
- Select Update Category > select membership category allocating to selected seats
- Repeat step 2 & 3 to allocate all reserved seat Membership Categories

4. View and Manage the Seat Map
Navigate to Organisation > Membership/Season Tickets > Seating Map / Members Events > Manage to visually view seat status allocations and process memberships for Corporate/Sponsor or complimentary seats.
If you’ve applied HEX colour codes to your membership categories, this will make it easier to differentiate between seat statuses at a glance.
In the example below, the first two rows have different membership categories assigned compared to the third row, while the greyed-out seats are assigned as Single Event seats.

5. Accessible Seating/Restricted View
Accessible seating is configured by your INTIX team member during the initial seat map venue build. If your venue offers accessible seating, it’s important that this is identified and communicated at the outset.
Navigate to Organisation > Seat Maps > Edit Layout

Select seats, multiple seats/areas - hold down the shift key and drag using the mouse

A menu will appear on the right-hand side

Tick 'Accessible Seating' or 'Restricted View'

Click anywhere outside the menu to save the update
Note: Updating accessible seating or restricted view will not automatically apply to events that have already been created. For this reason, please ensure accessible seating requirements are provided during the initial seat map build or create your event from the start.
In the below example, Accessible Seating has been selected.

In the example below, the Manage view shows the designated seats marked with wheelchair icons and the legend to the left of the screen indicates the total allocated.

Now you are ready to create your event!
Events
Create your first event using Reserved Seating, includes members
If this is the first event of the season, set it up fully, then use the “Copy Event” feature to duplicate it for all subsequent events.
1. Log in > Host An Event > Create Event- Fill out Basic Info for your event (Title, venue, date, time etc)
- *At this stage you can manipulate the URL string
- Save & Continue

For this purpose, we will skip the next step, Event Details and move onto Tickets.
2. Select Event Type: "Reserved Seating: includes members/season tickets"

3. Select the current/relevant seating map - Seat Status
Your seat map will appear on the 'Seat Status' view as default. You will see the legend on the left identifying all seat status options.
Assign or Update Seat Status by selecting the seats and selecting 'Update Seat Status' choosing Available, On Hold, Unavailable.
What is Seat Status?

Available: is a seat has originally been assigned as On Hold or Unavailable, you are able to update the status and assign it as Available

On Hold: selecting seats and assigning them On Hold allows you to allocate tickets in the back-end of your system while the public are not able to select them.

Unavailable: an Unavailable seat is one that is intentionally blocked from being sold or booked in your system.

4. Price Category, add Price Options and Create New Categories

Click 'Edit Prices', select the default "Tickets". You are able to re-name it to suit your event, ie. " Reserved Seating"
- Select 'Add New Price'
- Enter the Price label ie. Reserved Seating - Adult
- enter price
- enter Available from and until dates
- enter Available from and until time
- select visibility
- select 'Show on Box Office'
- SAVE
- Select 'Add New Price' for all remaining price options under the category (ie. Concession, Child, Family)
Family/Group configurations must be completed by a member of the INTIX team, so please notify your Account Executive. If you create a new Family/Group price option in an existing event, ensure it is configured correctly to generate the appropriate number of tickets for the customer and to require selection of the correct quantity of allocated seats. Once configured in the first event, these settings will carry over to subsequent event when duplicating. This is for reserved seating events only.

5. Optional: Change colour of seats to visually identify different Price Categories
To customise seat colours, click on the dot next to the ticket category and paste your preferred HEX code. Use the dropdown arrows to select and enter RGB code if preferred.

6. Allocate Price Category to reserved seats
- While in Event > Tickets > Price Category
- Select seats, multiple seats/areas - hold down the shift key and drag using the mouse
- Select Update Price Category > select relevant price category allocating to selected seats
- Repeat step 2 & 3 to allocate all reserved seat Price Categories
Potential Revenue
You will see a Financial Information box displayed at the bottom left of your screen which will show you potential revenue for your event according to the average prices created.

Password-protecting single event seats
- You may want to offer an exclusive access pre-sale with an Unlock Code
- You may want to offer the Away team the opportunity to purchase seats behind their team's bench
- While in Event > Tickets > Price Category
- Select Edit Prices
- Select the Price Category to apply the unlock code (in this case "Reserved Seating")
- Create a code of your choosing
- Select to Show in Legend
- Click anywhere to save the update

Copy Event!
Now that your seating map is set in place and built out, and your first event is created, you can duplicate this event for a series, simply changing the title, dates and any other details. Refer to this article
